How to Read a Heavy Equipment Inspection Report

A buyer's guide to understanding what's in a heavy equipment inspection report, what the condition grades mean, which findings matter most, and how to use the report to negotiate a fair price.

An inspection report can save you from a bad purchase or help you defend a trade-in number. The problem is that most of them are dense with grades, codes, and measurements that aren't explained anywhere on the page. Here is how to read one.

What a Heavy Equipment Inspection Report Covers

A standard pre-purchase or condition inspection report is broken into sections that mirror how a technician walks around the machine. Most reports follow this structure:

  • Engine and powertrain. Hours, oil condition, coolant level and condition, smoke at startup, any fault codes pulled from the ECM, and notes on any visible leaks or worn belts.
  • Hydraulic system. Pump pressure, cylinder condition (scored rods, leaking seals), hose condition, fluid condition, and functional checks of all functions: lift, tilt, swing, stick, blade, bucket.
  • Undercarriage (tracked machines). Track tension, sprocket wear, roller condition, carrier roller condition, idler wear, track pad thickness or grouser height. Usually expressed as a percentage of remaining life.
  • Drivetrain (wheeled machines). Tire tread depth, wheel end condition, differential and axle checks, brake function.
  • Structural. Frame cracks, weld repairs, bucket or blade wear, cutting edges, pins and bushings, bucket curl and tear.
  • Electrical and controls. Battery condition, lights, gauges, fault codes, joystick or lever response, any non-functional switches or displays.
  • Cab and glass. Seat, HVAC, glass cracks, door seals, mirrors, ROPS condition.
  • Tires (wheeled machines) or tracks. Condition grade and estimated remaining life.

What the Condition Grades Mean

Most inspection reports use a letter grade or number scale. The interpretation varies slightly by who issued the report, but the common scales work as follows:

A single overall grade is a shorthand. The section grades tell you more. A machine with a B overall but a C undercarriage and an A engine is a different investment than one with a B overall where everything is uniform.

The Three Numbers That Matter Most

Before you get into the narrative, look for these three items in any inspection report. They will tell you more in 30 seconds than reading the whole document:

1. Undercarriage life remaining. On tracked machines, this is the most expensive item to replace. Track replacement on a mid-size excavator runs $12,000-$30,000. Rollers, idlers, and sprockets add to that. If undercarriage life remaining is below 40%, include that cost in your purchase decision. If it's below 20%, that replacement is happening soon.

2. Engine hours vs. average for year. Average use is roughly 800-1,000 hours per year. A 5-year-old machine with 8,000 hours is running at roughly 1,600 hours per year, which is high use. The same machine with 3,200 hours is low use and typically worth meaningfully more. Gross mismatch between hours and age is worth asking about.

3. Fault codes or ECM flags. A report that lists active fault codes with no explanation of what was done about them is a flag. Some codes are minor. A hydraulic fault code or engine protection code that's been sitting active for an unknown period of time is not. Ask what the codes were and what, if anything, was cleared or repaired before the inspection.

Red Flags in an Inspection Report

These findings are not automatic deal-breakers. They are starting points for a conversation about price or a reason to ask for a second opinion before buying:

  • Frame cracks or weld repairs. A cracked main frame or boom on an excavator can be repaired, but the repair is expensive and the underlying cause matters. Ask when it happened, who did the repair, and whether it was certified by a structural engineer.
  • Hydraulic pump pressure below spec. A pump that is delivering 90% of rated pressure is wearing. One at 70% is failing. Get a number, not just a "low pressure" note.
  • Evidence of fire. Melted wire loom, burned paint under cab panels, or smoke staining inside the engine compartment. Even a small electrical fire can damage wiring harnesses that take weeks to chase down and fix.
  • Cylinder rod scoring or pitting. A scored rod means the seal is wearing against metal instead of a polished surface. Even a fresh seal job won't last long on a scored rod. The cylinder needs a rebuild or replacement, not just new seals.
  • Recent paint work on structural areas. Fresh paint in isolated spots on a frame or boom is sometimes used to cover surface cracks or repair welds. Not always. But worth looking at closely on an older machine.
  • Missing maintenance records. An inspection report grades what the tech can see. It cannot see what maintenance was deferred. A machine with no service records is a machine where you are guessing at the engine and hydraulic history.

How to Use the Report to Negotiate

A pre-purchase inspection report is a negotiating document. Here is how to use it:

Get repair cost estimates before you negotiate. If the report flags a hydraulic pump, undercarriage at 35% life, and a worn cutting edge, price out each item before you make or counter an offer. Use specific findings, not overall grades. "The inspection came back C overall" is a weak negotiating position. Sellers respond to specifics because they require specific responses.

Ask for a seller-provided correction or a price adjustment. On a known defect, you have two options: ask the seller to fix it before close, or ask for a credit equal to the repair cost. Both are legitimate. Most sellers prefer the price adjustment because they don't want to manage a repair during a sale. Get the repair cost estimate first so you know what to ask for.
